Refund, Cancellation and Rescheduling Policy

Darron Palmer Photography

Last updated: 23 October 2026

At Darron Palmer Photography, we understand that circumstances can change. This policy explains our terms for booking deposits, cancellations, rescheduling, refunds and gift cards for photography sessions and photographic products at our Birmingham studio.

We aim to provide a professional and enjoyable experience for every client while protecting the time, preparation and studio availability required for each session.

1. Booking Deposits and Payments

A booking is confirmed once the required booking deposit has been received and your appointment has been confirmed.

Our booking deposits are:

  • £40 for standard photography sessions, including maternity, newborn, baby, family, birthday and cake smash sessions.

  • £25 for mini Christmas photography sessions.

The remaining balance must be paid in accordance with the payment terms agreed at the time of booking.

Your booking deposit reserves your appointment and allows us to allocate studio time and prepare for your session.

Booking deposits are ordinarily non-refundable, subject to your statutory cancellation and refund rights under UK consumer law.

If you pay the full session price when booking and subsequently cancel, any refund will be calculated in accordance with this policy and applicable law. Where legally permitted, the applicable booking deposit may be deducted from the refund.

2. Cancelling Your Photography Session

If you need to cancel your maternity, newborn, baby, family, birthday, cake smash, mini Christmas or other photography session, please contact us as soon as possible.

We kindly request at least 48 hours’ notice of cancellation wherever possible.

If you paid a booking deposit only

Your £40 standard deposit or £25 mini Christmas deposit will ordinarily be non-refundable. However, you may transfer your deposit to a rearranged appointment in accordance with our rescheduling policy.

If you paid the full amount when booking

If you cancel your appointment, any refund will be calculated in accordance with applicable consumer law and the circumstances of your booking.

Where legally permitted, the applicable booking deposit may be deducted from the amount refunded:

  • Standard photography session: £40.

  • Mini Christmas photography session: £25.

Any amount retained must be fair and legally justified. We will not deduct a deposit where doing so would unlawfully restrict your statutory right to a refund.

Short-notice cancellations

If you cancel with less than 48 hours’ notice, please contact us as soon as possible.

We may have reserved studio time, undertaken preparation or lost the opportunity to offer your appointment to another client. Any additional cancellation charge or amount retained must comply with applicable law and must not be excessive or unfair.

The 48-hour notice period is our preferred notice period and does not override any statutory cancellation rights you may have.

3. Rescheduling Your Appointment

We understand that illness, pregnancy-related circumstances and unexpected family commitments can affect your plans.

We offer one free rearrangement per booking, subject to studio availability.

Please contact us as early as possible if you need to change your appointment. We ask for at least 48 hours’ notice wherever possible.

When you rearrange your appointment:

  • Your existing booking deposit will be transferred to the new appointment.

  • No rearrangement fee will be charged for your first change.

  • The new date will be subject to studio availability.

  • Any remaining balance will remain payable under the agreed booking terms.

Further rearrangements may be considered on a case-by-case basis. Any additional charge will be explained in advance and must be fair and lawful.

If you need to rearrange at short notice due to illness, pregnancy-related circumstances or an emergency, please contact us. We will consider your circumstances sympathetically.

If you cannot attend your rearranged appointment, please contact us as soon as possible to discuss the available options.

4. Late Arrivals and Missed Appointments

Please arrive at your agreed appointment time.

If you are running late, contact us as soon as possible. Late arrival may reduce the time available for your session.

If you do not attend your appointment without contacting us, please get in touch to discuss your circumstances.

Any decision about retaining payments or applying a charge will be made in accordance with the agreed booking terms, the circumstances and applicable consumer law.

5. Cancellations by Darron Palmer Photography

In the unlikely event that we need to cancel your appointment, we will contact you as soon as reasonably possible.

Where appropriate, we will offer an alternative appointment.

If we cannot provide the agreed service, we will refund payments due to you in accordance with the contract and applicable law.

We will not retain a booking deposit where doing so would breach your statutory rights.

6. Your Statutory Cancellation Rights

Bookings made online, by telephone or through other qualifying distance-selling methods may be subject to a statutory 14-day cancellation period under UK consumer law.

The applicable rules depend on how the contract was made and the nature of the service.

If you request that your photography session takes place during an applicable cancellation period, additional legal requirements may apply. These can include an express request for the service to begin early and acknowledgement of the relevant legal conditions.

Where applicable, we will provide the required cancellation information and process refunds in accordance with the law.

Our deposit terms, cancellation notice period and rearrangement policy do not remove or restrict your statutory cancellation or refund rights.

7. Digital Photographs and Image Collections

Your photography package includes the products or digital images specified at the time of booking.

Following your session, your photographs will be edited and supplied in accordance with your chosen package.

If you have concerns about the quality of your photographs or the service provided, please contact us so that we can discuss the issue.

Refunds for digital photographs and image collections will be considered in accordance with the contract and applicable consumer law.

Nothing in this policy limits your statutory rights relating to services or digital content that do not meet legal requirements.

8. Prints, Canvases and Personalised Products

Prints, canvases and other photographic products may be made specifically for you.

Certain personalised or custom-made goods may be exempt from the usual change-of-mind cancellation rights under UK consumer law.

However, this does not remove your legal rights if a product is faulty, damaged, not as described or otherwise fails to meet applicable legal requirements.

Please check your selected images, sizes and product details carefully before confirming your order.

9. Gift Cards and Photography Vouchers

Gift cards and photography vouchers purchased from Darron Palmer Photography are valid for 12 months from the date of purchase. The expiry date will be calculated from the original purchase date.

Gift cards and vouchers are ordinarily non-refundable and cannot be exchanged for cash, except where a refund is required by law.

They can be redeemed against eligible photography sessions or products offered by Darron Palmer Photography, subject to availability and the terms provided at the time of purchase.

Customers are responsible for using their gift card or voucher before its expiry date. Once expired, an unused balance may no longer be redeemable, subject to applicable law and the circumstances.

If we cancel a booking paid for using a gift card or voucher and cannot provide a suitable alternative, we will offer an appropriate remedy in accordance with applicable law.

Nothing in this policy affects your statutory consumer rights, including any applicable cancellation rights for gift cards or vouchers purchased online.

10. Refund Processing

Where a refund is due, we will process it within the applicable legal time limits.

Refunds will normally be made using the original payment method unless another method is agreed.

Where a deduction is legally permitted, we will explain the basis for it.
